How to follow up on a proposal using reader analytics
Proposal analytics can help you decide whether to check delivery, clarify the scope or arrange a discussion. They cannot tell you whether a client agrees, understands or intends to buy. Start with the agreed next step, then use recorded activity as supporting context for a helpful follow-up.
Agree on the next step before you need the data
A proposal should say what happens after delivery. If you agreed to review it on Thursday, prepare for that discussion instead of treating every visit as a reason to send another message. Analytics are most useful when they answer a question in an existing relationship.
For a fictional website proposal, the next step might be a scope discussion after the client has consulted their team. That gives you a sensible framework: confirm they can access the work, leave time for internal review and prepare answers about deliverables and dependencies. An extra open does not change the agreement by itself.
Know how each visit is attributed
A normal anonymous visit does not disclose an email address. In Foliyo, a sender can create a personal link for a named recipient, or a visitor can enter an email through a Pro email gate. These are different ways of associating activity with an identity.
Personal links attribute activity to the recipient the link was created for. Someone else may use a forwarded link. Email verification offers stronger evidence that the visitor controls the permitted inbox, but it still does not tell you whether that person read every word or discussed the work with colleagues.
Decide whether you need attribution at all. A broadly shared report may only need an overall open signal. A proposal reviewed by a known group may benefit from personal links. Keep the access policy appropriate for the content rather than adding friction simply to collect more data.
Match the observation to a useful action
The examples below are hypothetical decision aids, not claims about a particular customer. Use the context of your conversation and the client’s timetable before taking action. Tracking can be incomplete because of privacy settings, blocking or connectivity.
| Recorded signal | Possible next step | Avoid concluding |
|---|---|---|
| No recorded open before the agreed review | Check that the link arrived and the access instructions work. | They rejected the proposal. |
| A visit through a recipient’s personal link | Allow time for review and prepare for the agreed conversation. | That person personally read every section. |
| More visible time around scope or pricing | Prepare a clear explanation of options and dependencies. | They object to the price or are ready to buy. |
| Repeated visits after you revised the scope | Make sure the change summary is clear and easy to find. | Repeated activity means purchase intent. |
If there is no recorded open, check delivery first
A useful message might say: “Checking that the proposal link reached you and that the PIN worked. It includes the two scope options we discussed. Happy to resend the access details if useful.” This gives the client a practical way to respond without asserting that you know what they have or have not done.
Before sending that message, test the link yourself. Check expiry, access restrictions and any change made after publication. A broken handoff is your problem to resolve, and analytics alone may not distinguish it from someone who has not yet had time to read.
If a section draws activity, prepare a better conversation
Suppose the scope section has accumulated more visible activity than the introduction. Prepare the assumptions behind that scope, the boundary between included and optional work and the effect of each option on timing. Those are useful discussion materials regardless of why someone lingered.
A follow-up can ask: “Would it help to walk through the two scope options and what each includes?” There is usually no reason to quote a reader’s viewing duration back to them. Focus on the work and the decision they need to make.
Visible reading time measures an active page signal. It is not eye tracking, screen recording or a sentiment score. Section engagement is useful for spotting where clarification may be valuable, but it cannot explain a reader’s reaction on its own.
Ask your agent for facts and uncertainty separately
Foliyo Pro makes detailed engagement reports available through the connected workflow. Ask for observed activity first, then possible interpretations with explicit limits. Keep drafting and sending a follow-up as separate actions so you can apply context the report does not contain.
Find the approved Northwind proposal and summarize recorded opens, recipient-link attribution, visible reading time and section engagement. Separate facts from possible interpretations. Note identity or collection limits. Suggest one useful question for our next client call. Do not send any messages.Use the same link for the next revision
Once the client responds, update the existing proposal rather than creating another live version without a reason. Recheck the figures and access settings. Add a short change summary when scope, timing or price changes so the recipient does not need to compare the entire document from memory.
Keep your own record of the agreed terms. A shared page and its analytics are not a substitute for a signed agreement or an approval process. If your workflow requires an electronic signature, choose a service that provides that capability and the records your business needs.
Common questions about proposal tracking
Can Foliyo show who opened a proposal? It can associate activity with personal recipient links or email-gate information. Forwarded links can blur identity; verified email gates provide a stronger inbox check. Ordinary anonymous visits do not reveal someone’s email.
Can I turn tracking off? Foliyo supports disabling viewing analytics for a page. That stops future collection; it does not itself erase historical records. Consult the privacy policy for retention and data requests.
Is detailed tracking included free? Free includes a basic read receipt. Pro adds detailed recipient and section reports, visible reading time and email gates. Start with the information you actually need, and use it to improve the client conversation.
